Band Boosters Meeting

September 17, 2024

Call to Order: Ryan Bradford called the meeting to order at 7:09 pm

Approval of minutes from August Meeting:   Michelle Laroche  motioned and  seconded – motion approved.  

Presidents Report

  • Invitational Update – Volunteer Meeting this evening
  • Section Meal 9/28
    • Parents are feeding students instead of the food committee – section parents will send communication soon.  
  • Policy on Posting Videos
    • Due to sync rights we cannot post videos publicly on social media – there are copyright issues and Mr. Kohler will send more communication about this issue.  
  • Texas Roadhouse Gift Cards
    • Selling gift cards in October – fundraiser for the band as well as a payback to them for all the food donations.  
  • Upcoming Events
    • Senior Night – 9/20
    • Bandcoming – 10/5 
    • Craft Fair – 10/5 
      • Sign ups are posted and we need additional help – reminders will be sent after the invitational.  
      • Still need someone to step in to continue to chair this fundraiser for the future – Michelle Laroche will continue to work next year but we would prefer to have 2 people chair this large fundraiser.  
    • Fall Band Concert – 10/7 
      • Seeking a Front of House Manager Volunteer to help manage our tickets for our concerts.  Person will be trained to manage purplepass etc.  
    • Junior High Night – 10/11
    • Trunk or treat – 11/2 

Directors Report

  • Great first showing at the LC Invitational and showing movement 3 much earlier than usual.  
  • Sound system was not working correctly and the board approved the purchase of additional battery back up.  
  • Marching Band is performing at the October Band Concert – Stand up performance. 

Vice President Report

  • Chaperone Update
    • Additional training will be posted in the Newsletter
  • Safe Visitor Badges needed to Volunteer

Treasurer Report

  • Budget Update 
    • Uniforms are a little over – shoe costs are rising and shoe sizes changed but the district will be giving us funds which will help make up the difference. 
  • SNAP RAISE Fundraiser
    • Using the parent facebook to send tips and tricks on how to reach more people beyond our immediate circles.  

Secretary Report

  • N/A

Student Accounts Report

  • Last payments are due October 1st.  Payments can be made online or sent in cash or checks and placed in the lock box in the band room.  
  • Conner Prairie and Raise Right updates are done monthly with a delay of about a month to account for time for the companies to send information.  Mattress fundraiser credits were also updated on your accounts.  

Committee Updates

  • Sponsorship – Additional sponsors co
  • Props – Sign ups are posted on Cuttime.
  • Invitational – Meeting tonight for volunteers. 
  • Food – Thank you to all that contributed to donations and continue to look for sign ups on Cuttime and Facebook. 
  • Chaperones – Another meeting for training will be scheduled and look at Cuttime for sign ups.  
  • Uniforms – Thank you to the volunteers that help each night for performances and those that have offered to help alter uniforms.  
  • Spirit Wear – Spirit Wear store with show shirts will reopen tonight and close Sunday as the final window to order those items.  

Snap Raise

  • Snap has raised 4.5 million dollars for central Indiana organizations and close to a Billion nationwide.  
  • These donations are tax deductible and not an aggressive ask for donations.  
  • Emails etc are saved year to year in the individual student’s account to be used the following year.  
  • All support is US based and representatives are available locally for additional support. 
  • App can be downloaded and phone numbers can be used for a text message.  
  • URL etc can be posted on social media. 
  • Students do need to login to a fundraiser to be added to the student list.  
  • Follow up with Tabbitha Collier for additional help with this fundraiser
