MEETING MINUTES 8/10/2026

 

  1. Call Meeting to Order – 7:07pm
  2. Approval of minutes from last meeting – Jim Szerszen motioned, Patrick Clarke seconded
  3. Presidents Report

      1. Signup Genius coming out for adult volunteers and equipment

    3. Football Games
      1. Senior Night and Jr. High Night last football game of the season
    4. Invitational and Craft Fair
      1. Thank you to those that have stepped up to be committee heads
      2. 2 concessions, 1 hospitality (Erin), 1 for bus/truck parking – please step up!
      3. Craft Fair is also looking for concession stand head
        1. Volunteers needed 6am-4pm
      4. Vendor list is full and on a waitlist – more vendors than previously and people are still applying
  4. Directors Report
    1. First day of classes was great with a lot of new faces in the band program this year
    2. New idea for jr. high recruitment for marching band – more details coming in January
    3. Jazz band is going great – 45 kids between the two full bands
    4. Marching band – Wes (program coordinator) was around Thursday – Saturday, coming out 9 more times this season. Jeff Young was out today (top visual educator) will be out 2 more times, former director of Carmel coming to work with the kids as well.
    5. Car Wash – kids leaving rehearsal for an hour to go wash cards and then coming back. Rehearsal day will be 9am-8pm. First guard group will find out what group they are in and 9am group will meet at Geist Christian Church (car wash location)
    6. Thursday rehearsal 3:15-5:15 due to open house
    7. Make sure marching band kids are bringing their ½ gallon jugs to school
    8. Make sure kids are wearing appropriate marching band rehearsal attire
  5. Mattress Sale Update
    1. Sunday September 13th in the LGI
    2. Total last 4 years Fishers bands raised $42,700!
    3. Key to success is referrals

    1. Volunteer Procedures/Needs
      1. Keep an eye out for volunteer signups!
  7. Treasurer Report
    1. Budget Update – a lot of fees have been paid, we are on budget. $33,000 of current cash is credit for future programs. Lots of spending to come.
  8. Secretary Report
    1. Cuttime/Newsletter
    2. Photo buttons will be available this year – photos will be taken of each band member
  9. Student Accounts Report
    1. Overall Update on accounts – 157/202 accounts are paid up to date. If you are behind on payments, you will receive an email this week to make sure you are getting your CutTime notifications
    2. SnapRaise! Fundraising campaign will be happening soon! Help your kids gather adult contacts that they can enter into their accounts – automated messages will go out asking to support the marching band. Goal this year is to raise $30,000. Have your kids help reach out for donations. SnapRaise is very safe to share information with. Helps pay for meaningful equipment, accessories, and experiences throughout the entire band program (not just marching band!)
  10. Committee Updates
    1. Sponsorship
      1. Looking for help to join the committee. Texas Roadhouse giftcard sale and dine to donate will be happening again (after marching band ends – cards delivered at December concert). Flower fundraiser will happen in the spring next year – hoping to expand.
    2. Props
      1. Waiting to hear from Wes about actual props themselves. CutTime message coming out for build day for stages. Winter Percussion and Guard props need torn down. Tiger Cub will be getting a revamp. Refurb for ramps in Red trailer. Wednesday.
    3. Invitational – Please volunteer!
    4. Food – Thank you to everyone that has donated during July camp! Kids were fed 7 times during camp. Texas Roadhouse is scheduled.
  11. Open Discussion
    1. Uniform – in production, shoes have been ordered. If you would like to help make belts, contact Cheryl Christian
    2. New Parent Social happening August 20th.
    3. Personal Fundraising – 8 events over the next 30 days. Lucas Oil gave the band $2000 as a bonus as a thank you for filling spots – went into general band fund.
    4. Mr. Langbein’s family started a foundation for preventing suicide among marching band students. They are bringing the resources and trainings to Fishers in the future. Any questions, please reach out to him. The foundation is called “Continue”.
    5. Can Booster meeting time be moved back to accommodate for the later practice time this year?
